SUMMARY OF POSITION:
This is an entry level position with room for advancement.
The administrative assistant will perform a variety of day-to-day office and clerical tasks. They will be an integral part of ensuring that the office operations run smoothly. The administrative assistant will be responsible for providing comprehensive support to the Office Manager, office staff & field crew. This position requires the ability to anticipate needs, switch gears at a moments notice, think critically and offer possible solutions to problems while maintaining a high level of professionalism and confidentiality. Above all, the administrative assistant will be an organized and competent professional with excellent communication and multi-tasking skills.
Reports to: Office Manager
Salary: $8-12/hour, commensurate with experience
Job Type: Full Time
Schedule: Monday through Friday, 8:00 AM - 4:00 PM
RESPONSIBILITIES (including but not limited to):
~Responsible for answering multi-line phones, handling solicitors & spam calls, collecting customer information, taking detailed messages and forwarding information to the appropriate staff member.
~Perform basic cleaning tasks to ensure the office is kept clean & organized at all times, including: dusting, sweeping, taking out the trash, etc..
~Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.. Monitor & maintain inventory and submit replacement requests to the Office Manager.
~Complete time sensitive tasks as given, accurately and on time.
~Provide Calendar & Task Management for Office Manager, Office & Company. Maintain a running list of assigned tasks & deadlines to keep all office personnel organized and to ensure tasks are completed timely.
~Provide support for office personnel with various administrative tasks to ensure efficient operation of the office & companies, including but not limited to: filing, making copies, printing, typing letters, emails, reports, etc., create Word, Excel & Publisher documents, maintain contact lists, running errands, and anticipate the needs of the Office Manager, office staff & management.
~Maintain confidential office and company information about management, policies or business information that is not available to non-management employees or outsiders.
REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS & ABILITIES:
High School Diploma or GED required
Confidentiality
Excellent written & verbal communication skills
Strong organization skills that reflect the ability to perform & prioritize multiple tasks seamlessly with excellent attention to detail
Able to pay attention to details & posses problem solving skills
Reliable and professional
Self starter who works well independently or with others
Knowledge of basic office equipment and computer software
Able to handle interruptions & changing tasks without warning
Must be detail oriented and able to catch potential typos & errors
Experience in customer service a plus but is not required
Bookkeeping experience a plus but is not required
